Overview

The Diocese of London comprises of c400 parishes north of the River Thames and within the M25 motorway. The Church of England in London is vibrant, growing and is at the heart of communities throughout the city. The purpose of the London Diocesan Fund is to support this work, seeking to use our resources to facilitate the ministry of our parishes and chaplains who seek to serve four million people.

Introduction

To be the first point of contact with clergy, lay people and other visitors and callers to The Old Deanery.

To undertake reception and administration duties linked to the role and in support of the wider objectives of the offices of the Bishop of London and Archdeacons.

8am - 4pm; Monday - Friday (with 1hr lunch break)

Main Responsibilities

Front of House:

  • Receive visitors into and out of The Old Deanery offering hospitality and welcome.
  • Deal with queries from the public and parishes.
  • Maintain security awareness of both the office and the car park.
  • Maintain daily signing in sheets for staff & visitors which are part of fire procedures.
  • First Aider and Fire Marshall (training will be given).

Switchboard:

  • Manage incoming calls- screening and directing.
  • Take and relay messages.
  • Provide general information to enquirers.

Administrative:

  • Provide general administrative and clerical support upon request, in liaison with line manager.
  • Provide ad hoc event management support.
  • Provide general office and building administration support.
  • Process incoming and outgoing mail and deliveries.
  • Keep the ‘Reception Guide’ up to date.

Events, Meetings and Hospitality:

  • Oversee meeting room bookings.
  • Co-ordinate meetings and organise refreshments.
  • Liaise over room layouts and catering requirements.

Reception Area:

  • Monitor and maintain office equipment and supplies of consumables.
  • Tidy and maintain the reception area.

The post-holder may be required to undertake any other duties that are commensurate with the role. Some flexibility will be required to support the occasional evening or weekend event and time off in lieu will be given as appropriate.

The Ideal Candidate

Experience, knowledge, training and qualifications

Essential
  • Previous reception and administration experience.
  • Knowledge of administrative and clerical procedures.
  • Knowledge of customer service principles and practices.
  • Competent computer skills, including Microsoft Office and Outlook.
  • Keyboard skills.
